Anglicare Tasmania is a a not-for-profit organisation providing aged care, acquired injury and community support services across Tasmania. Anglicare Tasmania engaged Strategenics to migrate its Jira and Confluence data for from Server to Cloud, including the migration of associated apps. The challenge

User and wiki enigma: Solving for legacy

Anglicare Tasmania needed to migrate its Jira and Confluence data from Server to Cloud along with their associated apps.

As Anglicare Tasmania leveraged Confluence as their internal intranet, it housed information on critical policies and procedures. Because of this, they had specific requirements to maintain that were not available in the cloud solution. The project was further complicated by the need to map user data with email changes from years ago and script automations that couldn't be migrated.

The team faced challenges such as updating user data, addressing app migration issues and workarounds. There were also connectivity issues between server and cloud and a need to ensure the correct user tier and structure was in place prior to the move to cloud.

The solution

Planning, collaboration and communication always wins

Strategenics collaborated closely with the Anglicare project team to perform technical discovery early on. This helped to determine the best cloud configuration that would not only be more cost effective but would also cause the least impact to users. This was particularly important to Anglicare because they have a high volume of customer requests.

The approach involved the following steps:

  1. Technical Discovery

    Strategenics carried out a thorough technical discovery process to assess the existing infrastructure, user data and app dependencies.

  2. User Acceptance Testing (UAT)

    Strategenics worked alongside the project team, involving nominated leads, to perform UAT in their cloud Sandbox. This allowed the team to identify potential problems and collect feedback that needed to be addressed with no impact to live data.

  3. Migration Planning

    After UAT, Strategenics devised a migration plan that ensured minimal downtime and disruption to end-users. This included agreeing on a rollback plan to handle unforeseen issues during migration. Strategenics also supported the project team in understanding the changes between server and cloud.

  4. Migration Execution

    Strategenics migrated within a window that resulted in minimal disruption for users and customers.

  5. App Challenges

    Apps critical to business operations could not be transitioned to cloud. Instead, the Strategenics team found innovative ways to re-build solutions based on leveraging Jira’s out-of-the-box automation and additional Confluence apps.

  • Data Migration

    The Jira Service Management, Jira Software and Confluence data migration was executed within the agreed downtime window, ensuring data integrity and continuity.

  • App Migration

    Despite the initial challenges, out-of-the-box thinking allowed the Strategenics team to work with the project team to find novel solutions that allowed for continued compliance with policy and procedure documentation. .

  • Additional Collaboration and Communication

    Strategenics ensured a unified approach and understanding of the migration process by collaborating with additional project leads from different global divisions.

  • Better User Provisioning

    Working with Anglicare Tasmania, Strategenics designed a standardised user provisioning process that allows for more control over product access for their users.
